Volume Photo Day Terms & Conditions

1. Scheduling & Communication

• The League provides the Photo Day schedule, roster data, and distributes all Photographer communication to families.

• A League representative is optional, but highly recommended for efficient flow and accuracy.

 

2. Rosters & Accuracy

• Final rosters with correct spellings, jersey numbers, team names, and divisions must be submitted at least 7 days before Photo Day.

• If the League chooses not to have a representative present on Photo Day, the League accepts full responsibility for:

  • Any errors in spelling, roster details, or jersey numbers

  • Incorrect or incomplete data supplied

  • Any resulting changes or issues in final images

• Photographer will proceed using the information provided and is not responsible for errors caused by inaccurate or incomplete data.

 

3. Onsite Support

• If the League does not provide volunteers or a representative, the Photographer will manage teams to the best of her ability.

• Any delays, confusion, or scheduling issues caused by lack of onsite support are the responsibility of the League.

 

4. Weather & Postponements

• Photographer determines any weather-related postponements.

• Reschedule dates are limited, and no additional makeup days will be added.

• Postponements may reduce or change contracted benefits depending on seasonal timing.

 

5. Cancellations

• If the League cancels Photo Day for any reason, contracted benefits may be forfeited.

• Any pre-printed materials already prepared may be invoiced to the League.

 

6. Coaches & Team Cooperation

• Coaches must arrive on time and assist with organizing players.

• If teams are late, Photographer may move forward to stay on schedule.

 

7. Parent Ordering & Refunds

• Parents order directly through the online system.

• All orders are final sale.

• Refunds are not issued for missed Photo Day, absences, or personal preference issues.

 

8. League Use of Images

• League may use approved images for website updates, social media, and internal communications.

• Full-resolution files may not be distributed to parents, sponsors, or vendors without permission.

• Photographer credit must appear on public uses.

 

9. Conduct & Safety

• Photographer may pause or discontinue photographing if conditions become unsafe or disruptive.

 

10. Acceptance

Scheduling Photo Day indicates the League understands and agrees to this Addendum.
